These offer clarity about the requirements for making bookings, holding bookings, confirming and reconfirming bookings as well as procedures and terms of cancelling confirmed bookings. In a nutshell, these are guidelines for the trip booking process!
Accommodation:
Rooms usually have two twin beds. Prices assume 2 people per room. Single rooms may be available with the payment of a supplement fee but cannot always be guaranteed. Some facilities have available double beds upon request. Triple rooms may also be available.
Alteration of Tour:
We reserve the right to alter any route or arrangement or to cancel the operation of any scheduled tour should the conditions necessitate. We also reserve the right to decline, accept or retain any member of a tour at any time.
Should you fail to join a tour (without any prior notice), join it after its scheduled departure, or leave a tour prior to its completion, No tour fare refund will be made.
Cancellation:
Full refund will be provided if cancellation occurs in writing 60 days prior to commencement of a safari. Refund on all pre-paid money will be based on cancellation fees levied by hotels, lodges and banks. Generally there is a 50% charge on cancellations with 14-35 days, 75% charge with 2-24 days, and 100% charge within 48 hours. We reserve the right to deduct all expenses incurred from any money paid. Gorilla permits are non-refundable (except in case of illness).
Complaints/Refunds:
If the client has a complaint/refund query about any aspect of his/her holiday it should be reported immediately to our Company (either your driver/guide or the manager) or Beyond Wild Adventures local representative.
Beyond Wild Adventures will do whatever possible to resolve the problem immediately. However, if the problem is not resolved to the client's satisfaction during the safari, any further complaint/refund query should be made by the client, in writing, to Beyond Wild Adventures no later than 30 days following completion of the holiday. Failure to do will forfeit the client's right to any further claim against Beyond Wild Adventures. There will be no refund on un-utilised services.
Liability:
All bookings are accepted on the specific condition that Beyond Wild Adventures and its agents act only as agents of the passengers in all matters relating to hotel/lodge accommodations, tours, transport, etc. and shall not be liable for injury, delay, loss or damage in any manner whatsoever.
Beyond Wild Adventures reserves the right to employ subcontractors to carry out all or part of the services agreed to be supplied.
The respective laws of the country govern Beyond Wild Adventures liability to passengers carried in its own vehicles. All claims are subject to the jurisdiction of the courts of the country in which the cause of action arises.
Finally, whilst every care is taken, Beyond Wild Adventures cannot be held responsible for loss or damage to baggage.
Mode of Payment:
All prices are quoted in US dollars.
Foreign currency cheques, telegraphic transfers, cash (including local currency) and payment by credit card may be accepted, subject to bank charges at the prevailing rate. All transactions are subject to Manager's discretion.
Reservations and Payment:
When booking your holiday direct with Beyond Wild Adventures or with your travel agent, please quote your name and proposed itinerary, intended date for arrival and departure, number of people travelling in your party, sleeping arrangements and flight details, if known. This will ensure that our arrangements are to your satisfaction and concise. Gorilla trekking generally requires a minimum of 12 weeks advance booking. Some permits are available on short notice-please inquire with us.
Note that children under the age of 12 are not allowed to track chimpanzees. Children under the age of 15 are not allowed to participate in gorilla trekking.
A 50% deposit is required 10 weeks before intended departure or at the time of booking with the balance to be settled 30 days prior to commencement of the tour. Beyond Wild Adventures will receipt your money, thereby confirming your safari. If a reservation is made within 30 days of departure, the entire amount must be made at the time of confirmation.
Tour Price:
The prices quoted are inclusive of all transportation as per the itinerary, park entrance fees, permits where applicable, driver's allowances and third party insurance. The rates are not inclusive of accommodation and meals while in Kampala, traveller's insurance, local departure taxes, visa fees, gratuities, sodas and alcoholic beverages, telephone calls, laundry and other personal expenses, unless specifically stated in the itinerary.
Transfer of Booking:
In the event that you are unable to travel (due to extraordinary circumstances), we may be able to transfer your booking to another party, provided that the arrangements remain the same and that the suppliers (e.g., airlines, hotels, etc) are all ready to accept the transfer.
Gorilla permits are transferable in some instances.
Transport:
The mode of transport will be dependent on the number of clients and the route taken. Trained and experienced English speaking driver/guides are provided. Group safaris are usually executed in a 4x4 minibus.
Traveller's Insurance:
You are advised to buy travel insurance through your agent before coming to Uganda. Local evacuation coverage is available (in the unlikely event of a medical emergency while out in the bush). Please request this at the time of booking.
Viewing Animals:
When it comes to game viewing, please be advised there are no guarantees. It is a privilege to see animals in their natural habitat. Take only a photograph, leave only a footprint. A gorilla permit guarantees you will trek gorillas to their location but does not guarantee that the gorillas be in plain sight.
